Sponsorship Coordinator

Location: Chicago, IL

Hours: Approx. 10 hours/week / 40 hours/month

Schedule: Flexible

Reports to: Director of Operations

Position Summary:

The Student Sponsorship Coordinator will have overall responsibility for the daily operation of the Student Sponsorship Program through Liberia Mission, which will include new sponsorships, sponsorship renewals and administrative duties as they relate to the program.  This position requires an individual who has strong data entry skills.  You must have a strong ability to communicate with sponsors using a variety of communication tools.  As the Student Sponsorship Coordinator you will be required to accurately report the status of all aspects of the sponsorship program. The ideal candidate is self-motivated, detail-oriented and able to show initiative

Specific Responsibilities:

  • Work with multiple databases to ensure accurate and detailed data entry
  • Ensure timely and effective communication with sponsors
  • Create and assemble new sponsorship packets and ensure that all information is accurate and distributed to sponsors
  • Follow-up on sponsorship renewals in a timely and proactive manner
  • Provide administrative support for the program and timely reporting on an on-going basis to the Operations Director
  • Communicate with sponsors via e-mail, telephone, and in writing
  • Maintain sponsorship database
  • Work with other team members to ensure continuity of process and communication
  • Create reports to be distributed to Executive Director and others as appropriate
  • Work with Liberian staff and volunteers to secure Christmas and Easter letters written by students and make sure that current photographs of the beneficiaries are secured
  • Lead the end-of-year sponsorship mailing to sponsors
  • Assist in the annual fundraising efforts, especially working to secure volunteers and provide other assistance as needed
  • Other duties as assigned by the Director of Operations

 

Required Work Experience and Skills/Abilities:

  • Familiarity with Catholic teachings
  • Excellent writing skills
  • Exceptional verbal communication skills
  • Able to work on multiple tasks and projects in a fast-paced work environment while prioritizing and meeting multiple, often concurrent deadlines
  • Ability to create, administer and follow internal systems and procedures effectively
  • Strong proficiency with Microsoft Office products (Word, Excel)
  • Excellent interpersonal and relationship-building skills
  • Experience with various database systems
  • Experience working across departments as well as with staff at a variety of levels to meet objectives and broader organizational needs
  • Able to process, protect and exercise discretion in handling confidential information and materials
